Chamber of Commerce 5K Race Non-Profit Funding Application

Overview: The Chamber of Commerce is thrilled to partner with local non-profits to support our annual 5K Race. This initiative not only fosters community engagement but also provides financial support to one selected non-profit each year. For 2024, we successfully raised $7,200, enabling us to contribute $3,600 to Hamilton Central School. To ensure a smooth and impactful collaboration, selected non-profits are required to meet specific participation criteria.

Non-Profit Eligibility Criteria:

To qualify for funding, your organization must:

  1. Be a registered 501(c)(3) non-profit.

  2. Be a Hamilton Chamber of Commerce member for at least 1 year at time of application.

  3. Serve the Hamilton, NY area or surrounding communities.

  4. Align with the mission of fostering community well-being and engagement.

Non-Profit Responsibilities:

If selected, your organization agrees to:

  1. Provide Volunteers:

    • Recruit and coordinate at least 10 volunteers to assist with race day setup, breakdown, and other race-related tasks as assigned. Volunteers should be available during the following timeframes:

      • Setup: 6:30 AM – 8:00 AM

      • Race Operations: 8:00 AM – 11:00 AM

      • Breakdown: 11:00 AM – 12:00 PM

  2. Advertise the Race:

    • Promote the race to your community through:

      • At least 2 dedicated posts on your organization’s social media platforms.

      • Inclusion of race details in at least 2 email newsletters or similar outreach efforts.

    • Share the Chamber’s promotional materials (flyers, social media graphics, etc.) as part of your campaign.

  3. Event Day Presence:

    • Set up a booth or table at the race to represent your organization, share your mission, and engage with participants.

  4. Engage the Community:

    • Consider hosting or co-sponsoring a pre-race or post-race activity, such as a warm-up session, hydration station, or celebratory gathering.

Funding Details:

  • The funding amount will be determined based on the total funds raised during the 5K Race. Half of the net proceeds will be allocated to the selected non-profit, while the remaining half supports Chamber operations and future events.

  3. Selection Notification: The selected organization will be notified by April 15th.
